Hotfolders · Windows
Drop a file in a folder. We'll post it.
The Intelliprint Hotfolders app is a lightweight Windows tool that watches folders on your computer or network drives. When a PDF lands in a watched folder, we pick it up, print it, and post it. Ideal for legacy systems that export documents but can't call APIs.
How it works
From watched folder to posted mail.
Point a folder
Set a watched folder on your PC or network drive — once, during setup.
Save your document there
Export or save a PDF from any application straight into the folder.
We print and post it
Hotfolders picks it up automatically and it enters our same-day production queue.
Why Hotfolders
The quiet integration.
Works with legacy systems
Any system that can export a PDF to a folder can now send mail through Intelliprint. No API call, no manual upload, no SFTP server. Just a watched folder.
Set and forget
Set up once, then let it run. Invoices, statements, notices, confirmations — anything your business system already outputs as a PDF can be posted automatically.
Per-folder config
Run on a shared workstation or a server — watch multiple folders with different settings for test mode, letterhead, postage class, and more.
How it works
Three steps. Runs in the background from then on.
1 · Install on Windows
Download the Hotfolders app from your dashboard and install it on any Windows 10 or Windows 11 machine — workstation or server.
2 · Configure folders
Tell the app which folders to watch (local paths or network drives). Configure each folder's settings independently: test mode on/off, which letterhead, which postage class.
3 · Let it run
Save or export a document to a watched folder from any application. Hotfolders picks it up, submits it to Intelliprint, and the mail piece enters our same-day production queue.
Who uses Hotfolders
Specific use cases where a folder wins over an API.
Hotfolders is built for specific real-world scenarios where the API would be overkill or the dashboard would be too manual.
Legacy line-of-business software
Accounting systems, ERPs, legal case management tools, practice management software — systems that export PDF outputs but don't offer API integration. Point the export folder at Hotfolders and you're done.
Scheduled high-volume exports
A monthly statements batch, weekly invoice run, or daily confirmation letters. Hotfolders handles the volume without anyone manually uploading or triggering anything.
Multi-team workflows
When a specialist process or team generates mail-worthy PDFs that need to post through the same account the rest of the business uses. Each team can watch their own folder with their own settings.
Document management integrations
Running Intelliprint alongside a document management system (DMS) that already centralises your PDFs. Point Hotfolders at the DMS's output folder and every saved document becomes a potential mailing.
Hotfolders FAQ
Common questions.
Which operating systems are supported?
Windows 10 and Windows 11. No macOS or Linux version today. If you need file-based integration on another platform, an SFTP-style workflow via the API is usually the right alternative — talk to us.
Does it watch cloud storage like Dropbox or OneDrive?
Local folders and network drives (UNC paths, mapped drives). Cloud storage integrations (Dropbox, OneDrive, Google Drive) aren't directly supported today — but if your cloud drive is synced to a local folder on the Windows machine, that works fine.
What file formats does it handle?
PDF is the cleanest and most reliable. The app can handle other common print-ready formats, but PDF avoids surprises around layout, fonts, and margins.
Can different folders have different settings?
Each folder has independent configuration. You can have one folder in test mode for QA, another in production for real sends, and a third with a different letterhead and postage class. Changes are picked up live.
Can I use Hotfolders alongside other submission methods?
Yes. The app works alongside the dashboard, the API, the print driver, and any of our integrations. All mail goes through the same production pipeline and appears in the same unified history.
Is the transmission secure?
Documents are submitted to Intelliprint over an encrypted connection. Processing happens in our ISO 27001 certified facility and documents are deleted after printing. Same security story as every other route in.
