What it does
How Xero works with Intelliprint.
Xero holds the facts: who owes what, when it was due, what has been paid. What Xero doesn't do is reach customers who don't respond to email invoices — and they account for more of your ledger than you might think. Posting invoices, statements, and overdue reminders to the address already on the contact record closes the loop.
Two routes work today. Xero's native webhooks are the most direct: subscribe to Invoice or Contact events, verify the subscription with Xero's Intent-to-Receive check, then call the Accounting API to fetch the full record when a notification arrives. For finance teams who prefer a pull model without any webhook setup, export invoices or contacts to CSV from Xero and drop the file into the Intelliprint dashboard for bulk printing.
Common use cases: auto-post any invoice for a contact without an email address, escalate overdue invoices with a chaser letter, send year-end statements to every active contact. Xero has no event for 'became overdue' — that use case needs a scheduled check for authorised invoices past their due date, run independently of the webhook feed. All output uses branded letterhead, correct VAT-compliant layout, and a dated audit trail for disputes.

Choose your route
Want push notifications the moment something changes? Use Xero's native webhooks. Prefer a manual, no-webhook cycle? Export to CSV and use the Intelliprint dashboard.
Set up Intelliprint
Generate an Intelliprint API key. Upload an invoice or statement letter template with merge variables for invoice number, amount due, due date, and contact details.
Subscribe to Xero webhooks (recommended)
In the Xero Developer Portal, register a delivery URL and subscribe to Invoice and Contact events. Complete the Intent-to-Receive check — Xero sends a signed test payload your endpoint must acknowledge. On each notification, call the Accounting API for the full record; for overdue escalation, run your own scheduled check against AUTHORISED invoices with a due date in the past, since Xero has no native 'became overdue' event.
Or use the CSV / dashboard route
Export invoices or contacts to CSV from Business → Invoices/Contacts (capped at 500 records per export) and upload to the Intelliprint dashboard for a manual bulk run.
Test and go live
Test on a single invoice. Once the output looks right, enable the live run and monitor the first cycle for any data edge cases.
